Estimating time travel

How are time charges during travel to be charged, or even computed.
Where I'm leading is typically mileage return deduction is in my thought, really a sub of vehicle time charge, maintenance return.  Like ive been use to through my past "machine time charge"  this is easier to consider if you rent a piece for a bit.
Is there a bit more that one should code out on their own side as seen paper work.
Curious how much I stack or where to stack some of this, if as always mentioned bean counting.

Yes I had mentioned tax as a part and only because it is or I record it per trip so can relate weather I make it billable to job or not.
But moving on, I will say these travel times can be estimates, delivery or patterning/working on the job, but anyway actual job specific is where I'm at here, appreciate the help.

To relate this in beans how much does my truck get, is that the deduction mileage rate ? uhm I better recalculate if that's the case.
Its not clearly making it own way, so what is its cut/wage.

Machine rate has a value somewhere, or requires some figures, so are there some measures here.
I know if I have seen them many or most of you have, Hour meters on sew machines, its common in my previous job but an eye opener when I seen recent pictures, and wished I had them now. I see them frequently on mills, lathes etc.

Then I need to stack this figure it in some pile, weather seen by clients or myself and which pile.

For many years we didn't charge for p/u and deliveries. We were lucky just to get our labor and stay busy. Now we charge a flat rate that is calculated into each order. Sometimes we show it on the invoice but usually we just add it into the labor. The flat rate mostly covers the van gas and maintenance. We tell customers with small jobs like dining seats they can save money if they bring them to us. We keep a strict mileage log for work related trips. Rose tells me this is required by law for tax purposes but I've never seen other business owners do this. I guess most simply deduct all mileage for the year.
There cannot be a crisis next week. My schedule is already full.

Good morning! Doing some coffee here punching some buttons I somehow came up with this, but coffee is not kicking in, so  ::)
Is anyone using a surcharge for fuel in vehicle usage or how might some cost that in the budget.
I've been seeing these surcharges for quite some time, and with some relation to equipment size or actual bulk being delivered can be different I know. The fuel I would use has averages of about $6.25 an hour running 50mph and I ty to stick to the more efficient roads as was the protocol rule I followed.
As the fuel prices dropped last year and I'm glad of it, I would need to change my numbers from a 2.00 per gal to a lower rate, I like how some company's use the previous 2 month cost as their rate schedule.
I guess this is a close estimate $22.50 hr truck/machine rate with the reduction of $6.25 fuel rate per hour. With a new rate of buck fifty fuel per gallon it may drop to say $4.69 fuel per hour in the 1/2ton ridge runner.
Does this correspond to any figures you all might have seen or am I needing to get another pencil totally.

All my jobs have a work-order I developed in Excel. Part of the work-order has a section for travel expenses. Total miles travels - what the mpg for my truck (with or without utility trailer) - calculated at current gas prices + 10% for maintenance. Then it calculates time for travel at my travel rates. The total for one trip or multiple trips is then charged out to the job - with these expenses plugged into the initial estimate as part of the job cost

Thanks Rick, It sounds like a good plan you have setup, and I should start working with possible spreadsheet options. I'm going to look them a bit, Yourself and some others have mentioned this so just promotes their use.

Floyd.. If you have a basic understanding of Excel, let me know and I can send you the formula for the calculation(s). I have mine setup that I input certain cells with start miles, stop miles, price per gallon and travel time spent. Values are produced with macros launching when certain buttons are clicked. You would have to tweak your cell references, mpg for your vehicle for travel expenses. Then tweak your time travel rates in another formula. I could also send a screen shot of how the whole thing looks.

ps... it took me 2hrs work to work out the formula on the tangible travel expenses.

Rick thanks, I am more of an input person when spread sheets are involved.
I haven't a clue why, but developing them is not in my talents or choice to be. The interest in seeing the module you worked up would be cool. At the present I need to get some more program to fully work with it, so again thanks, I really need and plan to get better in this area.
Clearly we have some of the same expenses that are a pain and tracking a bit more could be helpful.

I seen this link and thought it interesting as my curiosity about some rates and stuff mentioned previously. It has been updated, and there could be other list like this guide in business.
Its slow loading and really likes the standard 100% page view as its tough using the scroll bar. anyway here goes
